The Admission Officer is a crucial member of the Admissions & Marketing Team, reporting to the Head of Admissions & Marketing. They will be the first point of contact for all enquiries and applications, ensuring they are appropriately handled and fulfilled. This busy and varied role requires the use of independent judgement and initiative, excellent customer service and interpersonal skills and the ability to work quickly and accurately with a keen eye for detail. A key part of the role is taking a personal and proactive hands-on approach with each prospective family ensuring that they receive a first-class admission experience in order to support Southbank’s student recruitment. Much of the work is computer based, so IT literacy, experience of using Google suite and CRM’s is essential.

Roles and responsibilities

  • Act as first point of contact for prospective families providing first class customer service
  • Responsible for fielding, filtering, and effectively responding to enquiries, received via telephone, email (admissions mailbox), and in person
  • Undertake regular and timely follow-up to all enquiries, visits and applications to meet minimum response times
  • Proactively, personalise responses to enquiries, sending information to prospective families, keeping them updated with regards to the status of their application
  • Arrange and administer on-line academic testing as appropriate
  • Ensure enquires are processed efficiently into the CRM and all files are up to date
  • Ensure all required documents are received from applicants

Key Requirements:

  • Bachelor degree or equivalent in a relevant subject
  • Excellent IT skills, including a working knowledge of Google Suite, MS Office applications and knowledge of using databases
  • Data literate
  • Excellent communication and interpersonal skills with the ability to communicate effectively with stakeholders of all levels in a tactful and diplomatic manner (both verbal and written)
  • The ability to work comfortably within a team as well as independently with minimum supervision.
  • First class organisational and administrative skills and the ability to flex and pivot as the need arises
  • Proactive approach to work with ability to use your initiative to problem solve and reach the end result
  • The ability to exercise discretion to maintain confidentiality in the handling of sensitive/confidential information
  • The ability to prioritise work and multi-task to meet set deadlines
  • Good levels of accuracy & attention to detail with own and others’ tasks
